Zingo Stories – Vendor Terms & Conditions

By submitting the vendor registration form and/or making payment for a stall, the vendor agrees to the following Terms & Conditions:

1. Vendor Registration
   Registration through the vendor form does not automatically confirm stall allotment. All registrations are subject to approval and availability.
   Stall confirmation will be provided by the Zingo Stories team only after the required payment has been received.
2. Stall Booking & Payment
   1. Stall booking will be confirmed only after receipt of the applicable stall fee.
   2. The payment deadline communicated by the event team must be followed.
   3. A stall may be allotted to another vendor if payment is not received within the specified timeline.
   4. All applicable charges communicated at the time of booking must be paid in full.
3. Cancellation & Refund Policy
   1. Once the stall booking is confirmed and payment is received, the stall fee will be non-refundable in case of vendor cancellation, withdrawal or non-participation.
   2. In case of vendor no-show, no refund or adjustment will be provided.
   3. Transfer of a confirmed stall to another brand/vendor is not permitted without prior written approval from the organisers.
   4. Any refund, rescheduling or adjustment in exceptional circumstances will be solely at the discretion of the organisers and subject to the applicable event policy.
4. Stall Allocation
   1. Stall location and number will be allotted by the organisers based on the overall event layout.
   2. Specific stall/location requests may be considered but cannot be guaranteed.
   3. Stall allocation will be final and may be changed by the organisers if required for operational, safety or venue-related reasons.
5. Setup & Dismantling
   Vendors must complete their stall setup within the timings communicated by the event team.
   Vendors must keep their stalls operational during the complete event timings.
   Early dismantling or leaving the stall before the official closing time is not permitted without prior approval.
   Vendors must vacate the allotted space within the dismantling time specified by the organizers.
6. Products & Brand Representation
   1. Vendors may display and sell only the products/services mentioned during registration or subsequently approved by the organizers.
   2. Any change in product category must be approved in advance.
   3. Counterfeit, illegal, unsafe, prohibited or objectionable products will not be permitted.
   4. The organizers reserve the right to stop the display or sale of any product that does not comply with the event requirements.
7. Vendor Responsibility
   Vendors are solely responsible for their merchandise, cash, equipment, display material, personal belongings and staff during the event.
   Zingo Stories and the venue will not be responsible for theft, loss or damage to vendor property, merchandise or equipment.
8. Stall Damage & Cleanliness
   1. Vendors are responsible for maintaining cleanliness around their stall.
   2. Any damage caused by the vendor, their staff or representatives to the stall, venue property, furniture, fixtures or infrastructure may be charged to the vendor.
   3. Vendors must dispose of waste only in the designated areas.
9. Electricity & Additional Requirements
   1. Vendors must use electrical equipment safely and within the permitted load.
   2. Additional electricity, furniture, branding, lighting or other requirements, if available, may be chargeable.
   3. Vendors must not make electrical or structural modifications without permission from the organizers.
10. Food Vendors
    Food vendors must comply with all applicable food safety, hygiene and statutory requirements.
    Where applicable, vendors are responsible for maintaining valid licenses, registrations and permissions required for their business.
    Food vendors must maintain hygiene and cleanliness and properly dispose of food waste.
11. Staff & Conduct
    Vendors are responsible for the conduct of their employees, representatives and helpers.
    Any abusive behavior, harassment, misbehavior, damage to property, disturbance to other vendors or visitors, or violation of event rules may result in removal from the event without refund.
12. Sales, Taxes & Licenses
    Vendors are solely responsible for:
    1. Their sales and customer transactions
    2. Billing and invoicing
    3. Applicable taxes
    4. Business licenses and registrations
    5. Product quality and customer complaints
    6. Compliance with applicable laws and regulations
       Zingo Stories does not guarantee any minimum footfall, sales, revenue or business generated during the event.
13. Marketing & Promotion
    Vendors may be requested to provide their brand name, logo, photographs, product images and social media details for event-related marketing and promotional activities.
    The organizers may use such material for promoting the event and participating vendors.
14. Event Changes
    The organizers reserve the right to make reasonable changes to the event layout, timings, stall allocation, venue arrangements or other operational aspects whenever required.

    In case of circumstances beyond the organizers’ reasonable control, including government restrictions, natural calamities, venue-related issues or other unforeseen circumstances, the organizers may postpone, modify or cancel the event. Any refund or adjustment in such circumstances will be handled as per the organizer’s communicated policy.

15. Organizer’s Rights
    The organizers reserve the right to:
    1. Accept or reject any vendor registration.
    2. Refuse participation where the vendor/product does not fit the event concept.
    3. Modify stall allocation or event arrangements when required.
    4. Remove a vendor for violation of these Terms & Conditions or event rules.

       The decision of the organizers regarding event operations, stall allocation and vendor participation shall be final.

16. Acceptance of Terms

    By submitting the vendor registration form and/or making payment, the vendor confirms that they have read, understood and agreed to these Terms & Conditions and agree to comply with all instructions issued by the Zingo Stories team during the event.
